Should I/we use this system for group reservations?
Absolutely, the registration system will allow for group reservations as long as the check in and check out dates are the same for everyone.
What if I am coming earlier or staying later than my team?
Music City has tons to offer and we are glad youre extending your trip, however if your team is paying for a set number of nights a team representative should make the team reservation and then you may make a separate individual reservation that covers your extended stay.
Does that mean I will have to move rooms?
Not at all, we will work with the university so that folks extending their stay on top of their teams reservations will have the same room for the entire stay.
I see that there are accommodations and sales tax upon checkout, is there a way to use our clubs tax-exempt status?
Glad you asked - if you are a US based, registered 501c3 organization please have your IRS 501c3 Letter scanned and you will be able to attached it to your reservation and avoid some of the associated taxes. Unfortunately, US tax law does not allow this to be extended to non-US organizations. Just make sure to select non profit under organization type.
What information do I have to have to complete the reservation?
Individual reservations require that we collect first name, last name, team name, address, city, state, country and contact information. Non –US teams can put NA in state and postal code fields.
For team registrations, we only need the information of a team representative and the quantity of packages. Team representatives will be sent a rooming list to complete 3-4 weeks prior to tournament based on occupancy purchases.
If I am staying elsewhere but still want to use the Vanderbilt meal plan, should I still use this registration?
Yes, just simply click no under the field “Are you staying at Vanderbilt,” as this option will still allow you to purchase the meal plan without purchasing accommodations.
What is included in the stay and play packages?
The single room occupancy package includes room and board (meals) for one person. The traditional single room comes furnished with a twin bed, a dresser, a closet, a pillow, bed linens, and a towel. The rate listed includes a meal plan with $2.50 tax, but does not include Accommodation Tax (6%) or Sales Tax (9.25%). All taxes will be calculated and can be viewed at check out.
The double room occupancy package includes room and board (meals) for two people – The traditional double room comes furnished with two twin beds, two dressers, two closets, pillows, bed linens, and towels. The rate includes 2 meal plans with $2.50 tax, but does not include Accommodation Tax (6%) or Sales Tax (9.25%). All taxes will be calculated and can be viewed at check out.
What if I make a reservation and then need a refund?
Make sure to read the Terms and Conditions before you check out. These cover everything from refunds and changes to lost keys.
When do housing prices increase?
Housing prices will remain the same leading up to the cut off date of April 15th, however registration prices will increase as the tournament draws closer.
What payment types do you accept?
Credit cards and checks. Note: Vanderbilt is in the process of adding AMEX to the list of their accepted credit cards and hope to be able to accept them by Oct 15. Information on how to pay with check can be found on the summary page.
